Travel Policy
Reasonable travel expenses are paid for the briefing session and the workshop. Those going forward to the Final are requested to ask for financial support from their home university.
Reasonable is defined as reimbursement for the following:
Briefing Session
- Mileage (24p per mile) for 1 car when attending the briefing session from your current university of study to the venue in Nottingham.
- The fare for a standard rail journey, for two members of your team, will be paid. You must book your tickets in advance to secure the best fare possible. You will be told the time of closure of the session to enable you to time your return journey and ensure that you make your booking in good time. If you have a student railcard, please use this to secure an even better fare. A shuttle bus service will operate between the Nottingham station and The University of Nottingham Jubilee Campus on the morning and afternoon of the briefing. You must keep your tickets to claim reimbursement so ensure you present your ticket to a member of the station staff at the barriers.
Workshop
- Mileage (24p per mile) for 2 cars per team when attending a workshop from your current university of study to the venue.
- The fare for a standard rail journey, for all members of your team, will be paid. You must book your tickets in advance to secure the best fare possible. You will be told the time of closure of the final session to enable you to time your return journey and ensure that you make your booking in good time. If you have a student railcard, please use this to secure an even better fare. Where possible a shuttle bus service will be provided between the train station and the workshop venue. You must keep your tickets to claim reimbursement so ensure you present your ticket to a member of the station staff at the barriers.
Claim
- Only one claim form can be processed for each team. The Team Co-ordinator must therefore take the responsibility for submitting the official University of Nottingham claim form with tickets or other receipts for all members. Once a claim form is submitted it takes four weeks for the cheque to be generated and sent to the Team Co-Ordinator. S/he should then re-imburse individual team members, once they are in receipt of a cheque.
